What belongs on a receipt
A receipt is a short document with one job: proving that a specific amount reached a specific person on a specific date. That means your name and details, the amount in figures, the date the money was actually received rather than the date it was owed, and what the payment was for. If the money settles an invoice, quote that invoice number — a receipt that cannot be matched to anything is worth very little six months later.
How the money arrived is worth writing down too. Cash, bank transfer, UPI, cheque and card all leave different trails, and if a payment is ever queried the method is the first thing anyone asks about. Put it in the notes with the reference number if there is one.
Turning a paid invoice into a receipt
If you raised the invoice here, open it, press New from this, and the whole document carries across — both parties, every line, the totals. Set the document type to Receipt, put the amount into Amount paid, and set the date to the day the money landed. The receipt then matches the invoice line for line, which is the point of issuing one.
There is no account here, so a draft file is how a document survives the tab being closed. Save the invoice as a draft when you send it, and that file is what you reopen when the payment comes in.
Questions people ask
What is the difference between an invoice and a receipt?
An invoice asks for money and a receipt confirms it arrived. The invoice comes first, carries a due date and a balance, and stays open until it is paid. The receipt comes after the payment, names the amount and the date it was received, and closes the matter. The same sale can produce both, and the receipt should quote the invoice number so the two can be matched later.
Can I use this as a rent receipt?
Yes. Put the landlord as the business and the tenant as the customer, write one line for the rent with the month it covers, and set the date the money was received. If you are claiming HRA in India your employer will usually want the landlord's name and address, the amount, the period, and the landlord's PAN once the rent passes one lakh rupees in a financial year. A revenue stamp is customary on cash payments above five thousand rupees.
Does a receipt need a GST number?
Only if you are registered and the receipt is standing in for a tax document. A plain acknowledgement of money received does not need a GSTIN, and you should not print one you do not have. If you are registered, the tax invoice is the document that carries the GST breakdown, and a receipt against it is best kept simple: the amount received, the date, and the invoice it settles.
